Step1: Prepare your data

If you would like to use heiDATA, please note the following preparatory steps, which will enable a speedy data publication in heiDATA.

Do not hesitate to contact us at an early stage if you have any questions about data publication. Initial information about your data (data types, file formats, data volume) is helpful for us.
 

File naming and organization

Please name your files in a logical and comprehensible way. The file naming should be comprehensive, but also as short as possible and in accordance with the customs of your scientific community. When using a date, ideally use the internationally standardized format YYYY-MM-DD.  If the files have the same title as the publication, use a title suffix with underscore _, e.g. "_data", to avoid confusion with the publication.

Please also note that certain characters are excluded for the file name. The excluded characters are: / : * ? " < > | ;

heiDATA can map folder structures. Especially if there are many files/folders, we recommend to make the data available in a directory structure.

There is also the possibility to create descriptions for single files in heiDATA. You may want to create these in advance.

File formats

The file formats intended for publication on heiDATA are in principle not restricted. However, in view of long-term archiving, non-proprietary and well-documented formats should be used. We will be happy to support you in the selection of suitable file formats or conversion.

README File

To improve the usability and reuse of your files, you may want to create a README file. Such a file provides users with a detailed description of the files and the data they contain and promotes quick and intuitive use of the data. Such a README file can also include the terms of use for the files, if needed. The README file should be written as a text file (e.g., .txt, .md, .pdf) and must be unambiguously associated with the corresponding data set using at least the title and DOI. When naming the README file, it is recommended to prefix it with an underscore (_README) so that the file is always displayed as the first document.

Clarify publication rights

Before publication, you should have clarified that you are authorized to publish the data. This includes the appropriate agreement with your co-authors, the observance of any existing intellectual property rights that may prevent publication (personal data, copyright of third parties, etc.) as well as any rules on export control.
